"What even is a grand entrance? Do we have to do a cake cutting? When are we supposed to do the first dance?"
If you’ve been wondering how to make sense of the wedding reception timeline, you’re not alone. It’s easy to feel overwhelmed trying to figure out the order of events and how to keep the night flowing smoothly. As Boston-based wedding experts serving couples across New England, we’ve seen it all — from perfectly timed entrances to unexpected delays — and we’re here to walk you through what a typical reception timeline could look like and why it works. There are various ways to approach this with several formalities that are typically included. We highly encourage you to choose the ones that feel most meaningful to you and skip the rest if they don’t bring you joy. Let’s break it down step-by-step so you know exactly what to expect. Let’s start by discussing the order of the grand entrance.
The Grand Entrance Walk-In Order
As guests settle into their seats, your DJ and/or coordinator will help line everyone up for the grand entrance. This is where we formally introduce your wedding party and/or you as newlyweds. The grand entrance sets the tone for the evening and gets your guests excited for the celebration ahead. Here’s a typical order for the walk-in:
Grandparents and/or Parents of the Couple
Wedding Party Attendants
Ring Bearer and/or Flower Attendant
Person of Honor and/or Best Person
Newlyweds!
We like the idea of having your wedding party walk out and then circle around the dance floor before the newlyweds’ grand entrance. One the couple comes out, the wedding party can be seated as we continue the rest of the formalities. Be sure they know where their seat are!
Make it your own! Choose one song for the entire party or give each pair their own entrance anthem—either way, this is your moment to showcase personalities and set the tone for the night. Traditional Formalities
Once the wedding party is seated, the fun really begins! Here’s the usual order of events that take place after the grand entrance:
1. First Dance: This is the moment you’ve been waiting for as a couple. Decide whether you want to dance to the full song or a shortened version if you’re feeling shy. You can even choreograph a routine or keep it simple and heartfelt—whatever feels most authentic to your relationship. Consider selecting a song with deep meaning, such as the one that played when you first met or a track that reflects your journey together.
2. Parent Dances: Parent dances are an emotional highlight of the evening. You can choose to honor your parents by dancing with them before or after your first dance. For a seamless transition, some couples opt for dancing with their parents before their first dance to symbolize being "given away" into married life. This is also a great time to include step-parents or other parental figures who have played a significant role in your life.
3. Toasts and Speeches: Toasts and speeches bring a personal touch to your reception. Designate a space near the sweetheart table for your speakers to create an intimate atmosphere. Ensure they prepare in advance and keep their speeches concise—aiming for 2-5 minutes each. Consider providing microphones and a cue from the DJ to transition smoothly between speeches. End with a heartfelt thank-you from the couple to express your gratitude.
4. Dinner Time: Whether you choose a buffet or plated dinner, this is when guests can relax and enjoy their meals. For buffet-style dinners, decide if the DJ or catering staff will call up tables to avoid congestion. During this time, consider playing soft background music that complements your theme, allowing for conversations while maintaining a warm ambiance.
5. Cake Cutting: The cake cutting is a sweet tradition that symbolizes your first task as a married couple. Decide whether you’d like to make this a formal announcement with everyone gathered around or keep it more low-key as a photo opportunity. Discuss with your planner or caterer if the cake will be served immediately after or saved for later in the evening.
6. Dance Floor Opens: This is when the party truly kicks off! Work with your DJ to create an energy-filled playlist that reflects your style and gets everyone moving. Start with a high-energy song to get everyone on the dance floor or even open the floor with a bouquet toss. This is also a great time to incorporate cultural traditions. Whether it’s the hora, madizone (for my Khmer people!), or another special dance from your heritage, these moments can bring everyone together and make your reception uniquely yours. For an added touch, you can arrange for late-night snacks or signature drinks to keep your guests fueled for dancing.
7. Wedding Closure: The end of the night deserves a memorable send-off. Choose a final song that resonates with you as a couple—whether it’s an upbeat anthem to leave guests energized or a slow, romantic tune for an intimate last dance. Consider planning a private last dance for just the two of you—a chance to savor a quiet, intimate moment together before concluding the evening. This can also serve as a special one-on-one opportunity to reflect on the day and soak in the joy of being married. If you’d rather take this time to spend with your guests, thank your guests for celebrating with you and consider organizing a sparkler exit or another festive farewell.
Your wedding is all about you and your partner — so when it comes to the reception timeline, there’s no need to feel boxed in by tradition. Want to skip the grand entrance? No problem! Picture this: the two of you walking in together, hand in hand, ready to dive straight into the celebration with your loved ones. Maybe you want to go straight to dinner and dancing — and that’s okay, too. It’s YOUR day, and the beauty of it is in the moments that feel true to who you are. Whether you stick to the classic formalities or make your own rules, the most important thing is that the night flows in a way that feels just right for you both.
Why Buffer Times Are Essential
No wedding ever goes exactly as planned, and that’s perfectly okay! Some of the most memorable moments come from the unexpected. I remember one wedding where the cake was completely forgotten. Yep, you heard that right! They had to run out and grab a grocery store cake, but in the meantime, we kept the music going, and no one even noticed. And then there was another wedding where the grand entrance was delayed by about 10 minutes because the bride was having an anxiety attack. It was a tough moment, but she came out stronger, took a deep breath, and partied the rest of the night with her guests — all smiles and laughter! Things like this happen, and adding 10 to 15 minutes of buffer time in the schedule can make all the difference. It gives you the breathing room to handle any delays without feeling rushed, ensuring you and your guests can relax and enjoy every moment of the day.

Pro Tips for a Seamless Reception
Have a checklist. Checklists are everything when it comes to staying organized, especially when you’re juggling multiple moving parts on your wedding day. Whether it’s remembering the essentials — like your wedding rings, marriage license, and emergency kit — or ensuring every vendor has what they need, a checklist ensures nothing gets forgotten. I recommend organizing your items in labeled bins. Think of it as your personal wedding day ‘emergency kit’ — everything you’ll need, in one place, easy to grab when it’s time. This takes so much pressure off you and your wedding party when you’re getting ready!
Have a timeline. A timeline is your best friend for keeping everything running smoothly. It’s like the roadmap for your big day, allowing you to see at a glance how each moment will unfold. Knowing what’s coming up next helps you stay on top of things, and you’ll feel much more in control. Plus, a timeline helps account for buffer times — you can plan for little hiccups like a delay in the hair and makeup schedule or the unexpected last-minute request for a photo with Aunt Carol. With a visual representation of the day, you can easily make adjustments without feeling frazzled.
